Custom CRM development for your business

A CRM that works the way your team sells: enquiries from the website and messengers, pipeline, tasks, reminders and reports — without clutter or per-seat licences.

Find out how many leads you lose

Sound familiar?

  • Enquiries get lost between e-mail, messengers, Instagram and spreadsheets
  • Managers forget to call back and you hear about it from the customer
  • Off-the-shelf CRMs do not fit your process and the team avoids them
  • Sales reports are put together by hand in Excel

What is included

  • Sales and service process analysis, pipeline map
  • Custom CRM or extending an existing one (HubSpot, Pipedrive, Bitrix24, KeyCRM)
  • Automatic capture of enquiries from the site, forms, messengers and ads
  • Roles and permissions, customer history, tasks and reminders
  • Integrations with payments, shipping, telephony and accounting
  • Dashboards: conversion, sources, revenue, team performance
  • Team training and support after launch

Custom CRM development means a CRM built around your sales process, or an existing one (HubSpot, Pipedrive, Bitrix24, KeyCRM) extended with lead capture, payment and shipping integrations. It is for small and medium businesses whose enquiries get lost between channels and whose reports are still assembled by hand. Prices start at €2,000 for an MVP and timelines at 45 days; the first working version takes 4–8 weeks.

What a CRM does for a small business

A CRM keeps every customer, enquiry and deal in one place, and every task has an owner and a deadline. In practice that means no enquiry is lost and you can see how much money is in the pipeline right now. If leads arrive through several channels, more than one person handles them, or you have already lost a customer because nobody replied, you need one. The symptoms are described on our leads get lost page.

What we automate in a CRM

  • Lead capture from the website, Instagram, Telegram, WhatsApp, ad forms and e-mail into one inbox.
  • Assignment of enquiries and reminders when a customer has not been answered in time.
  • Documents: invoices, contracts and proposals from templates in one click.
  • Payments and shipping statuses synced automatically.
  • Reports: lead sources, stage conversion, revenue, team performance.

Custom or off-the-shelf CRM

How we work

  1. Map how you sell today. Where enquiries come from, who handles them and when, and where customers slip through.
  2. Propose a solution: an existing CRM with integrations or a custom system, with price and timeline for each phase.
  3. Build an MVP in 4–8 weeks and run it on real enquiries: pipeline, customers, tasks and website lead capture.
  4. Migrate your data from Excel, Google Sheets or an old CRM and verify the result before go-live.
  5. Train the team, refine based on feedback and support it. Further modules (roles, inventory, payments, analytics) come in phases.

How much CRM development costs

Option Price from Timeline from
Custom CRM MVP: pipeline, customers, tasks, website leads €2,000 45 days
Complex system: roles, inventory, payments, analytics typically €4,000–15,000 after scoping in phases
Off-the-shelf CRM setup plus one integrated process (automation) €800 21 days
AI assistant working with CRM data (AI services) €1,000 21 days

The price depends on the number of roles and scenarios, integrations (payments, shipping, telephony, accounting), the amount of data to migrate and your reporting needs.

Technology

We build custom CRMs with Laravel/PHP, Node.js/NestJS or Python on PostgreSQL, with a React/Next.js interface, deployed in Docker on your server or cloud. Code, database and server are in your name with no lock-in. Database changes go through migrations only, so the system can be updated without manual fixes or data loss.

Examples from our work

  • Digital AI university: an “Applicants” module with role-based access, where enquiries from the admissions landing page land straight in the platform’s admin instead of an inbox or spreadsheet.
  • Shopify store for a supplements brand: every order and enquiry is created in KeyCRM automatically and mirrored to the team’s Telegram.
  • AI integration with a studio CRM: an MCP server that lets an AI agent work with CRM tasks, including statuses, comments, time tracking, estimates and documents.

What to check before hiring a CRM developer

  • Who owns the code and the data. If the CRM runs on the vendor’s server and you have no database access, it is not really your system.
  • Whether they start from your process, not a feature list. A CRM with everything but no pipeline map usually ends with the team going back to Excel.
  • An MVP and phased roll-out. Six months of development before anyone logs in is a big risk. Your team should be working in the system within weeks.
  • Data migration and verification. Ask who moves your customer history and how the result is checked.
  • Training and post-launch support. The best CRM fails if the sales team does not use it.

Getting started

Before choosing a system, check where your enquiries actually leak: the mystery shopper test and the eight most common leaks are in where lost leads go and how to stop it.

Describe how enquiries arrive and get handled today, how big the team is and what you have already tried. After a call we will propose a solution, off-the-shelf or custom, with phases, price and timeline. Discuss a CRM for your business.

FAQ

Custom or off-the-shelf CRM?

If your process is standard, configuring an existing CRM with integrations is cheaper. A custom CRM pays off with a specific process, many seats or data that ready-made systems do not hold. We will tell you honestly on the first call.

How much does CRM development cost?

From €2,000 for an MVP with pipeline, customers, tasks and website lead capture. Complex systems with roles, inventory, payments and analytics are quoted after scoping, typically €4,000–15,000.

How long does it take?

The first working version takes 4–8 weeks. Then we add modules step by step so the team starts using it early.

Can you migrate data from spreadsheets or an old CRM?

Yes. We move customers, deals and history from Excel, Google Sheets or another CRM and verify the result before launch.

Who owns the code and data?

You do. Code, database and server are in your name with no lock-in.

Can the CRM connect to my website and messengers?

Yes. Enquiries from the website, forms, Telegram, Instagram, WhatsApp, e-mail and ad forms land in the CRM automatically and are assigned to your team.
