Online booking and appointments on your website

Customers book on their own, day or night, without calling. You get the request in Telegram and a calendar without double bookings.

Set up online booking

Sound familiar?

  • Bookings only by phone — some customers never get through
  • Requests outside business hours get lost
  • Staff spend hours on back-and-forth messages

What is included

  • Choosing the right option: a ready-made service or a custom module
  • Booking or appointment form on your site
  • Notifications to you and the customer (Telegram, e-mail, SMS)
  • Calendar or CRM sync
  • Reminders before the visit

An online booking system is a form or calendar on your website where customers pick a service, a specialist and a free slot themselves, while you instantly get the request in Telegram, e-mail or your CRM. It suits any business that works by appointment or reservation: clinics, salons, repair shops, tutors, hotels and restaurants. A turnkey setup starts from €600 and takes from 14 days.

Who needs online booking and what it solves

If the only way to book is a phone call, you lose customers before the first conversation: someone could not get through at lunchtime, someone messaged in the evening and gave up waiting, someone booked with a competitor who let them do it in a minute. Online booking closes those gaps and takes hours of back-and-forth off your front desk.

  • Clinics and dental practices — booking a specific doctor, appointments of different lengths, a reminder the day before.
  • Salons and barbershops — several stylists, different services, buffers between clients without manual maths.
  • Car services and repair shops — diagnostics or tyre changes booked against available bays.
  • Tutors, coaches, consultants — one-to-one and group slots, video calls with the link in the confirmation.
  • Hotels, apartments, glamping — date-based reservations with room choice and a deposit.
  • Restaurants and event venues — a table or a room for a specific time.

The typical symptoms — clashing schedules, no-shows, endless “do you have anything tomorrow?” chats — are covered in detail on our page about manual appointment booking.

What you get and what your customer gets

  • The customer sees only free slots, books in a minute from a phone, and gets a confirmation and a reminder before the visit.
  • Your front desk works from one calendar that shows every booking — from the website and from the phone.
  • You as the owner get a notification for every booking and can see how many come from the website versus other channels.

Ready-made booking service or a custom module

The first decision we make together is what to build the booking on.

Criterion Ready-made booking service Custom module on your site
Monthly fee Yes, a subscription No, only hosting and optional support
Time to launch Faster: configuration and embedding Longer: built around your process
Flexibility Limited to what the service offers Any rules: resources, deposits, buffers
Customer data Stored with the service In your own database
Integrations Only those the service supports Anything with an API

With one or two specialists and a standard process, a ready-made service neatly embedded in your site is usually the better deal. A custom module makes sense when your process is unusual, you have many resources to schedule, or you do not want to pay per-seat subscriptions. On the first call we will tell you honestly which option pays off for you.

How we implement online booking: stages and timeline

  1. Process review. Services and their length, staff, schedules, cancellation and deposit rules. We agree who needs to see each booking and where.
  2. Solution and quote. Ready-made service or custom module, the list of integrations, a fixed price and timeline in writing.
  3. Build and configuration. The form or calendar on your site, notifications to you and the customer, calendar or CRM sync.
  4. Testing real scenarios. Clashes, cancellations, rescheduling, mobile booking, time zones for online consultations.
  5. Launch and training. We show your team how to manage the schedule and leave a short guide.

A typical scenario takes from 14 days. It takes longer when you need online payment, complex reservation rules or an integration with accounting software — and we say so up front.

What affects the price

Factor Effect on price and timeline

Number of staff, services and locations More configuration and test scenarios
Online payment or deposits An extra payment integration
Sync with CRM, accounting or Google Calendar Each integration adds work
Custom module instead of a ready-made service More development, but no monthly subscription
Several languages Translated interface and messages

Tools and platforms

We add booking to websites on WordPress, Shopify, Webflow, Squarespace and Next.js. Notifications go via Telegram, e-mail and SMS; sync goes to Google Calendar or a CRM; custom modules are written in PHP or Node.js with the database on your own server. Bookings can flow further — into a CRM built around your process or into reminder and review sequences via business process automation. If your customers prefer messengers, bookings can also come in through a Telegram or WhatsApp bot.

An example from our work

On a university admissions website we made sure an applicant’s form submission becomes a record in the learning platform straight away, instead of an e-mail someone has to retype, and added an AI assistant for common questions. We build online booking on the same principle: a booking lands where your team actually works, with no manual copying. Details are in the university admissions case study. On our own website, form enquiries also arrive in Telegram and in the admin panel — we use this setup every day ourselves.

How to choose a contractor

  • They ask about your process before suggesting their favourite tool.
  • They explain where customer data lives and who owns it after the project.
  • They test the awkward cases: cancellations, rescheduling, two people booking the same slot.
  • They check the mobile experience — many customers book from a phone, and a clumsy form undoes everything.
  • They hand over access and a guide, so you do not depend on a single developer.
  • They give a fixed price before starting, not “we will see as we go”.

Online booking with reminders is one of the first processes small businesses automate; the other candidates are in 10 processes a small business should automate first.

FAQ

Who is it for?

Hotels, clinics, salons, car services, tutors, restaurants — anyone who works by appointment or reservation.

Can it work without a monthly subscription?

Yes, we can build a custom module on your site. We will advise what is more cost-effective for you.

How much does an online booking system cost?

From €600 for a turnkey setup: booking form or calendar, notifications to you and the customer, reminders. Online payment, several locations or CRM sync add scope — the exact price is fixed in writing before we start.

How long does it take?

From 14 days for a typical scenario. A custom module with complex rules, deposits and integrations takes longer — we give the timeline together with the quote.

Can customers pay a deposit when they book?

Yes. We connect online payment so customers pay a deposit or the full amount at booking, which cuts no-shows.

Can we keep phone bookings as well?

Yes. Online booking runs alongside the phone: staff see every appointment in one calendar, and customers choose whichever way suits them.
