Processes and team

Systems can’t keep up with growth: when you need your own software

A business outgrows its tools when off-the-shelf services were chosen for a smaller scale: per-seat costs climb, the process doesn’t fit standard scenarios and data is scattered across systems. Custom software isn’t the first step; first check whether integrations and automation will do.

What it costs your business

Tool limits rarely stop a business overnight; they slowly drain efficiency. The team bends its processes to fit the software rather than the other way round, and spends time on workarounds and manual reconciliation. Every new hire adds to the licence bill, and key decisions are made without the full picture because the data isn’t in one place.

Why it happens

You’ve outgrown your tools: why it happens

  1. 01

The tools were chosen for a smaller scale

What worked well for five people and a hundred orders wasn’t built for your current volume, roles and permissions. How to check: list what has changed since the tools were chosen: team size, volumes, number of roles.

  2. 02

    Per-seat pricing

Most services charge per user or per feature. As the team grows, the cost goes up, the capabilities don’t. How to check: add up a year of subscriptions and project three years with your planned hiring.

  3. 03

Your process is unique, the service is generic

Your pricing logic, production flow or partner workflow doesn’t fit standard scenarios, so workarounds pile up. How to check: list the workarounds the team does each week and the time they take.

  4. 04

    Data lives in silos

The CRM, shop, warehouse and accounting have no shared database. Any combined report is built by hand and is out of date by evening. How to check: how long does it take to get last month’s margin by customer?

  5. 05

    Plugins conflict with each other

The site or store runs on dozens of add-ons from different authors. Updating one breaks another, and performance drops. How to check: how many times in six months did something stop working after an update?

  6. 06

You can’t get at your own data

The service offers no full export or API, so moving away or building a report is hard. How to check: try exporting all customers with their order history into one file.

Solutions

How we fix it

  1. 1

    Review processes and tools

We look at which services you really need, where you pay for things you don’t use and what actually slows the work down. Often part of the problem can be solved with configuration and integrations. You get a technical solution and a phased estimate.

  2. 2

    Connect your data

We set up CRM and automation so customers, orders and stock sync between systems and reports build themselves.

  3. 3

    Build your own web platform

Where off-the-shelf tools don’t fit, we build a system around your process: portals, roles, permissions, integrations with the services you keep, with no per-user fees. That is how we built a learning platform for a digital AI university, including an applicants CRM.

  4. 4

    Roll out step by step

We move processes over in stages so the business never stops. The code, server and data belong to you, so any team can develop the system further.

FAQ

FAQ

How do we know it’s time for our own system?

When workarounds take more time than the actual work, licences get pricier with every hire and the features you need never arrive. Often it’s worth trying integrations and automation first; we’ll tell you honestly what will be enough.

How can we audit our tools ourselves?

Make a table: service, yearly cost, who uses it, which workarounds it needs, whether data can be exported. Services with no export and the most workarounds are the first candidates for replacement.

Isn’t custom development too expensive?

Compare it not with one month’s subscription but with several years of licences, lost time and workarounds. And you end up owning the system. Automation starts from €800, a CRM from €2000, a web platform from €5000.

What happens to the data in our current tools?

We migrate it during the rollout: customers, orders, history. Old and new systems can run side by side during the transition.

How long does building a platform take?

A first working version of a web platform takes roughly 60 days or more, then the system grows in stages. A precise plan and estimate come after technical discovery.
